This position is for an Administrative Assistant to support the Procurement EPC Functions team, while demonstrating a high degree of initiative, discretion, confidentiality, diplomacy, professionalism, flexibility, accuracy and knowledge of protocol. The successful candidate in this role must be comfortable juggling several projects at once and possess strong organizational skills. The EA will be managing calendars, coordinating internal and external meetings, and providing a high level of service to the department's internal and external colleagues and therefore must possess a professional and friendly demeanor. The work location for this assignment in Reston VA. Relocation assistance is not authorized for this position. Job Requirements: * Has advanced writing and grammatical skills to author correspondence requiring management signatures. Skills assessments may be administrated to test proficiency level * Screens all visitors and phone calls when managers are not at their desks * Composes and distributes complex correspondence using Bechtel standard word processing systems or other software applications * Reviews accuracy and format of outgoing documents which require the managers signatures * Maintains digital files of correspondence and other documents retained for business purposes * Develops and supervises the implementation of office procedures and of filing and record-keeping systems * Schedules meetings, coordinates videoconferencing needs, reserves rooms, arranges catering, and distributes materials for meetings. Independently schedules and reschedules appointments on the basis of managers commitments and priorities * Coordinates complex travel plans for manager and prepares detailed itineraries, completes expense reports for travel, and reconciles expenses against monthly corporate credit card statement * Determines action on important or emergency matters or knows the person to contact in the managers absence. * Keep abreast of key issues, commitments, and priorities of manager * Ability to work in a fast-paced environment, with the ability to multi-task and prioritize deliverables appropriately. Maintain an extremely busy, complex and ever-changing calendar, often transitioning CIO from one meeting to the next. Job Qualifications: * Must have the right to work and remain in the United States without visa sponsorship * Must have minimum of 3 years office administrative/secretarial experience supporting management. Experience must have been obtained within the past 5 years * Must have a minimum of 3 years' experience managing executive calendars, experience must be obtained within the last 5 years * Must be able to demonstrate intermediate proficiency using Microsoft Excel, Outlook, PowerPoint, and Word. Skills assessments may be administered to evaluate proficiency * Must have experience arranging domestic and international travel. Experience must have been obtained within the past 3 years * Be able to demonstrate a high degree of initiative, discretion, confidentiality, diplomacy, professionalism and flexibility * Must be able to work with minimal day-to-day supervision * Willing and able to work overtime with little to no notice when needed Preferred Qualifications * Previous Bechtel experience working as an administrative assistant/secretary. * Holds a current Certified Administrative Professional (CAP) or Certified Administrative Professional with Organizational Management (CAP-OM) credential.
